Scheduling intelligence for NHS hospitals

Clinical rotas, generated in minutes.

Wefen turns your scheduling rules into complete, compliant rotas, then shows the working behind every assignment.

Built by a team with a decade of NHS scheduling experience.

The problem

Building the rota is a full-time job. It shouldn't be.

Weeks of senior time

A compliant rota means juggling contracted PAs, leave, nights and weekends across dozens of clinicians. Done by hand, it swallows weeks of a senior clinician's time. Then the next cycle starts.

Rules live in heads and spreadsheets

Job-plan limits, rest requirements and local agreements sit in spreadsheets and one person's memory. When that person is away, the rota stalls.

No answer to "why?"

When someone asks why they were given three weekends in a row, a spreadsheet has no answer. Fairness questions become disputes instead of conversations.

How Wefen works

From rules to rota in four steps

1

Write the rules once

Describe contractual and local rules the way you would say them out loud: contracted PAs, night limits, weekend frequency, rest between runs, continuity of care. AI turns each one into a precise rule the engine can enforce.

2

Generate the rota

Wefen's scheduling engine builds a complete rota against every rule at once, in minutes rather than weeks, and scores it for fairness and balance.

3

See the working

Every assignment carries a ledger of the rules it satisfied, so anyone can see exactly why the rota looks the way it does.

4

Adjust with confidence

Swap and re-allocate by hand where you need to. Live re-scoring shows the knock-on effect of every change before you commit it.

The rule ledger

Every rota comes with its working shown

Wefen produces the evidence along with the schedule. Each rule reports how it was applied across the whole rota, and each assignment can be traced back to the rules that shaped it.

A generated rota is only useful if people trust it. This is how they come to trust it.

AI-assisted rules

Write rules in plain English. AI does the formal bit.

Type each rule the way you would say it to a colleague. Wefen's AI reads it, turns it into a precise rule the engine can enforce, and plays back its understanding so you can check it before it takes effect.

The rota itself is built by a deterministic engine, not by AI guesswork. Same inputs, same rota, every time. We use AI where it genuinely helps: understanding your rules and explaining the results.

The re-allocate popover explaining why an assignment holds

Why this assignment?

Ask any cell to justify itself

Click an assignment and Wefen shows its fit, its rank against every alternative, and what each re-assignment or swap would cost. Rules that ruled people out are named, and overriding them shows the price before you commit.

When nothing improves the rota, it says so plainly. That is what turns a generated schedule into one your team can defend.

Self-service for clinicians

Clinicians manage their own time

Their own view

Every clinician gets their own login and sees their own rota. No more screenshots of a spreadsheet doing the rounds on a group chat.

Their own commitments

Off duty, leave, clinics and private work commitments are entered by the clinician who holds them. The generator plans around them from the start instead of unpicking clashes afterwards.

The right level of access

Coordinators build, adjust and publish. Clinicians see their rota and manage their own availability. Everyone gets what they need and nothing they don't.

Who it's for

Built with a decade of NHS scheduling behind it

ROTA COORDINATORS

Stop hand-balancing spreadsheets. Set the rules, generate, and spend your time on the exceptions that need a human.

CLINICAL DIRECTORS

See at a glance that the rota is compliant, fair and defensible, and answer any question about fairness straight from the ledger.

NHS TRUSTS

Reduce admin burden and reliance on single points of failure, with scheduling knowledge captured in the system rather than in someone's head.

Trust and security

Built for the people who ask the hard questions

Rota data is staff data. Here is how we look after it, and what your information governance team will want on file long before a pilot starts.

Hosted in the UK

Wefen runs entirely on Amazon Web Services in the London region. Scheduling data does not leave AWS UK and EU infrastructure in normal operation, and it is encrypted in transit and at rest.

Access you can account for

Everyone signs in with their own account. Administrative access to our infrastructure requires multi-factor authentication throughout, and every administrative action is logged and kept for 12 months.

Your data stays yours

Your organisation remains the controller of its staff data and we process it only to run the service. No analytics cookies and no marketing cookies, on the product or on this site.

About us

Wefen is built by people who have been doing this since 2013

Wefen is made by Workforce Innovation Solutions, a Manchester company founded by the two people who spent the previous decade building Malinko, a scheduling platform used by care providers across the UK. We are not learning this problem on your rota.

Who you will be dealing with

Andrew Threlfall

Andrew Threlfall

Co-founder

Andrew created Malinko and has spent more than a decade building workforce software that organisations rely on every day.

A developer, project manager and business owner, he is at his best turning messy operational problems into working software.

Kyle Hind

Kyle Hind

Co-founder

Kyle was a senior engineer at Malinko from its early days through to its sale, and was instrumental in building most of the platform. Along the way he saw the same problem again and again: scheduling takes skilled people away from the job they are actually there to do.

He makes the technical decisions at Workforce Innovation Solutions and builds our products, including Wefen's scheduling engine: the rules, the generation and the scoring at its heart.
